Privacy Policy

Hydra Notes (the web app at notes.hep.gg and the Hydra Notes apps for iPhone and iPad) is made by Team Hydra in Canada. We collect only what we need to run your account and keep your notes in sync. We do not show ads, we do not track you across other apps or websites, and we never sell or rent your personal information.

What we collect

Account information. Your email address. If you sign in with Hep.gg, also your Hep.gg account identifier and display name.
Your content. The notes, tasks, cards, folders and tags you create, the photos and files you attach, and earlier versions of your notes (version history). For shared folders, who is a member and the email addresses you invite.
Sign-in and devices. Your active sessions, including the kind of device, app or browser and when each was last used, so you can see and sign out your devices. One-time sign-in links until they are used or expire.
Technical logs. Our servers record requests, including IP address, time and the address requested, to keep the service secure, prevent abuse and fix problems. Server errors are recorded in an error tracker that we run ourselves.
Optional features, only if you use them. If you link Discord for task boards: your Discord user ID, username and avatar. If you use the Claude assistant on the web: the messages you send and the notes it works with. API keys and connected apps you create. Your task statistics and achievements.

We do not collect your location, contacts, advertising identifiers or analytics about how you use the apps.

How we use it

To provide Hydra Notes: sign you in, store your content and sync it between your devices and the people you share with.
To send sign-in links and shared folder invitations by email.
To apply storage limits, keep the service secure and answer your support requests.

We do not use your content for advertising and we do not sell personal information.

Who we share it with

People you choose. Members of shared folders you create or join can see that folder's content. Anyone with a public share link you create can read that note.
Service providers that help us run Hydra Notes. An email delivery service sends sign-in and invitation emails. If you use the Claude assistant, the messages and note content needed to answer you are sent to Anthropic to generate the response. If you link Discord, we exchange the information needed for task boards with Discord.
When the law requires it. We may disclose information if required by law or to protect the safety of our users or the service.

On your iPhone and iPad

The app keeps a copy of your personal notes, tasks and cards on your device so it works offline, along with a cache of attachment images and a search index. Your personal notes and cards also appear in Spotlight search on your device. Widgets and the Share extension keep a small amount of data in the app's private storage on your device, such as your upcoming personal tasks and items you share into the app before they are saved. Content in shared folders is not stored on your device.

Signing out from the app removes the copy on your device, the Spotlight entries, the attachment cache and widget data. If your session ends for another reason (for example it expires), your device keeps its copy so nothing that has not synced yet is lost, and Spotlight entries, the attachment cache and widget data are removed.

Storage, security and retention

Your data is stored on servers operated by Team Hydra and sent over encrypted connections.
Items you delete go to Trash and are permanently deleted after 30 days, or sooner if you delete them forever. Archived items stay until you delete them. A note's version history is deleted with the note.
Technical logs are kept only as long as needed for security and troubleshooting.

Deleting your account

In the iPhone or iPad app, open your account (the person icon) and choose Delete Account. You can also email support@teamhydra.dev from the address on your account. Deleting your account permanently removes your account, notes, tasks, cards, attachments, version history and sessions. Shared folders you own are deleted for all their members (the app lists them and asks before deleting), and your membership in other people's folders ends.

Your choices and rights

You can view, edit, export (on the web, as markdown files) and delete your content at any time. You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by writing to support@teamhydra.dev. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). If you have a concern we have not resolved, you can contact the Office of the Privacy Commissioner of Canada.

Children

Hydra Notes is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.

Changes

If we change this policy we will update the date above, and for significant changes we will let you know in the apps or by email before they take effect.
